Why Hashtags Still Matter
Hashtags are not dead, but using them wrong is worse than not using them at all. The goal is discoverability: putting your content in front of people who are not already following you. A good hashtag strategy mixes reach (large audiences) with relevance (your specific niche).
This step creates a system so you never have to think about hashtags again. You will build reusable sets and simply pick the right one for each post.
Generate Hashtag Sets by Content Pillar
Your content pillars from Step 3 (Educational, Engagement, Promotional, Personal) each attract different audiences. Ask AI to create a set for each:
I need hashtag sets for my social media content.
My business: [one sentence description]
My niche: [your industry or topic area]
Target audience: [who you serve]
Platforms I use: [Instagram, Twitter/X, LinkedIn, etc.]
Create 4 hashtag sets, one for each content pillar:
1. Educational content
2. Engagement/community content
3. Promotional content
4. Personal/behind-the-scenes content
For each set, provide:
- 5 high-volume hashtags (100K+ posts) for broad reach
- 10 medium-volume hashtags (10K-100K posts) for targeted reach
- 5 low-volume/niche hashtags (under 10K posts) for community building
Also suggest 3-5 branded hashtags I could own
(e.g., #BrewWithBrew for our coffee brand).
Format each set so I can easily copy-paste it.Example Hashtag Sets
Here is what this looks like for our coffee roaster example:
Educational Content Set (pick 15-20 per post):
High-volume: #CoffeeTips #CoffeeLovers #BaristaTips #CoffeeTime #HomeBarista
Medium-volume: #CoffeeBrewing #PourOverCoffee #CoffeeEducation #SpecialtyCoffee #CoffeeScience #ManualBrew #CoffeeGeek #FrenchPressCoffee #CoffeeRoasting #BeanToBar
Niche: #ThirdWaveCoffee #SingleOriginCoffee #CoffeeCupping #HomeRoasting #CoffeeProcessing
Branded: #BrewAndBeanTips #BrewBetter #BeanSchool
Platform-Specific Hashtag Rules
Different platforms have different hashtag cultures. Use this reference:
| Platform | How Many | Where to Place | Notes |
|---|---|---|---|
| 5-15 per post | In the caption or first comment | Mix of sizes, rotate sets to avoid shadowban | |
| Twitter/X | 1-3 per tweet | Woven into the text or at the end | Less is more, only highly relevant ones |
| 3-5 per post | At the bottom of the post | Professional and industry-specific | |
| 0-3 per post | At the bottom if at all | Hashtags matter least here |
Research Trending Topics
Stay current by asking AI to identify what is trending in your space. Run this prompt weekly or bi-weekly:
What are the current trending topics, conversations, and themes
in the [your industry] space on social media?
Consider:
- Seasonal trends for [current month]
- Industry news or developments
- Common questions people are asking
- Viral formats or memes that could be adapted
- Upcoming events, holidays, or awareness days
For each trend, suggest:
1. How I could create content around it
2. Relevant hashtags to use
3. Which platform it would perform best onBuild a Keyword Strategy for Searchable Platforms
Instagram, LinkedIn, and TikTok now function as search engines. People search for topics, not just hashtags. Ask AI to help you optimize for search:
Generate a list of 20 keywords and phrases my target audience
is likely searching for on social media.
My business: [description]
My audience: [who they are and what problems they have]
For each keyword, provide:
1. The search phrase
2. Content idea that matches this search intent
3. Which platform(s) people would search this on
Focus on problems my audience is trying to solve and questions
they are asking. These should feel like what someone would type
into Instagram search or LinkedIn search.Organize Your Hashtag Library

When you finalize a post from Step 4, here is the process:
- Identify the post type (Educational, Engagement, Promotional, Personal)
- Pull the matching hashtag set from your library
- Pick 10-15 hashtags for Instagram, 2-3 for Twitter/X, 3-5 for LinkedIn
- Add 1-2 trending hashtags if relevant to the specific topic
- Always include your branded hashtag
If you want AI to do this selection for you, use this quick prompt:
Here is my post: "[paste your post copy]"
Platform: [Instagram/Twitter/LinkedIn]
Post type: [Educational/Engagement/Promotional/Personal]
Select the best hashtags from my library below and explain why
each one fits this specific post:
[Paste your hashtag library]Avoid Common Hashtag Mistakes
- Do not use banned hashtags. Search each hashtag on Instagram before using it. If the results page shows a warning, skip it.
- Rotate your sets. Using the exact same hashtags on every post can trigger spam filters. Swap out 3-5 hashtags per post.
- Do not use irrelevant high-volume tags. Tagging #love on a coffee post gets impressions but zero meaningful engagement.
- Track what works. In Step 8, you will analyze which hashtags drive the most reach and refine your sets accordingly.
Your hashtag library is now ready. Next, we will create the visuals to go with your posts.
